Contractual necessity – to deliver paid services
Legitimate interest – to improve our offerings and understand our audience
HubSpot
CRM, website host, form handling, and marketing automation. Central platform for contact management and communication.
Kit
Email platform used to deliver newsletters, workshop flows, marketing automation, and other client communications.
Zapier
Automation tool used to connect data between services (e.g., syncing Typeform responses to HubSpot).
Cal.com
Used for scheduling calls, diagnostics, Voice of Customer interviews, and workshops. Basic contact information is collected at booking.
Zoom
Used to conduct client meetings and customer interviews for Voice of Customer research. Recordings are only made with consent and used solely for service delivery.
Fathom
Used to record, transcribe, and summarize internal client-facing calls (e.g., kickoffs, syncs, and handovers). Recordings are only created with prior consent.
Typeform
Used to collect survey responses in two main contexts:
For our own audience: Includes both optional surveys (e.g., after newsletter subscription or workshop attendance) and required intake surveys for audits or custom services. Responses from clients or subscribers may be synced to HubSpot and are used to understand goals and improve service quality, content and communication.
On behalf of our clients: Used to conduct Voice of Customer surveys with our clients’ customers (with prior agreement) to support messaging and strategy development. These responses are anonymized where appropriate and handled with strict confidentiality.
Dovetail
Used for securely storing and analyzing Voice of Customer research—transcripts, coded insights and survey data—for project delivery and internal strategy work.
ChatGPT (OpenAI)
Used internally to assist with idea generation, drafting and synthesis of qualitative customer research. ChatGPT may be used to process anonymized or high-level data to support faster analysis and clearer communication. No personally identifiable information (PII) is entered or stored in ChatGPT. All outputs are reviewed and finalized by a human before use in deliverables.
Google Sheets & Google Docs
Used for internal synthesis, qualitative research analysis and documentation—such as processing Voice of Customer insights, messaging drafts, solution briefs and strategy maps.
Also used to create and deliver final client-facing files, including:
Message Maps (Google Sheets)
Website copy pages (Google Docs — one doc per page)
Audit deliverables (Google Docs, structured by section)
Demo messaging scripts, email sequences, and prioritized action lists
Audit materials are delivered via a central Notion page containing secure links to these documents.
Descript
Used to record and edit over-the-shoulder video audits (e.g., website or demo experience reviews). These recordings may include screen shares of client websites, demos, or marketing assets and are delivered as part of paid services. Files are securely stored and shared privately with the client.
Google Analytics
Used to understand aggregate website traffic, visitor behavior, and campaign performance. All IP addresses are anonymized, and no personally identifiable information is stored. Tracking is only active if you consent to analytics cookies.
Hotjar
Used to visualize user behavior through heatmaps, click tracking, and scroll depth—helping us improve user experience and website performance. Activated only if analytics cookies are accepted.
You can opt out anytime via the Hotjar Do Not Track setting.
Figma
Used to create and deliver wireframes, messaging flows and visual representations of copy. Content is securely stored and used only for project collaboration and delivery.
Google Sheets & Google Docs
Also used to deliver final content alongside Figma wireframes via private links. These documents represent the core content delivered at project handoff. See “Research, Analysis & Delivery” for full list of deliverables created using these tools.
Notion
Used as a centralized hub to organize and deliver project assets—especially for audit services. Notion pages include summaries and secure access links to Google Docs and Sheets. No personal data is stored in Notion unless added explicitly by clients (e.g., in comments or collaboration notes).
While Right Story is run by Anezka Pavlovicova as a sole proprietor, we may occasionally collaborate with carefully selected independent subcontractors (e.g., other conversion copywriters, virtual assistants, or researchers) to support delivery of services. These contractors:
Are granted access only when necessary
Are bound by confidentiality and data protection agreements
Do not store your data independently or use it for any purpose outside the agreed scope
We remain the sole Data Controller.
We use cookies and tracking tools to personalize content, analyze site usage, and improve the user experience.
We categorize cookies as:
Essential – Required for basic site functionality
Analytics – To understand how visitors use the site (e.g. via Hotjar or HubSpot tracking cookies)
Marketing – To better tailor content or follow-ups based on interaction history
We display a cookie consent banner and block all non-essential cookies unless you provide consent. You can also control cookies via your browser settings.
We use Google Analytics and Hotjar to analyze how users interact with our site. This helps us improve usability, content clarity, and performance. No tracking is activated unless you provide explicit consent via our cookie banner.
To opt out of Hotjar tracking: Hotjar Do Not Track
We use surveys to gather relevant information that helps us deliver personalized services and improve the quality of our content and communication.
If you purchase a service like the Web Conversion Catalyst or Demo Conversion Catalyst, or a custom web copy or demo messaging project, completing a survey is required before we begin your audit or custom messaging or copy project. These surveys collect business context—such as your goals, KPIs, and current challenges—needed to provide accurate and tailored recommendations.
Surveys may also be offered after newsletter sign-ups, workshop access, or bookings. These optional surveys help us understand your intent, improve the clarity of our website copy and shape future services and messaging to better match your needs.
Survey responses are securely collected via Typeform and may be synced to our HubSpot CRM to associate your answers with your contact record for better service delivery and communication.
Your responses are never shared with third parties and are used solely for internal purposes, service delivery and business analysis.
We may record client-facing calls, including discovery sessions, diagnostics, consulting sessions, live webinars, kickoff meetings, syncs, or handovers. Recordings are used for record-keeping, project continuity, service delivery, quality assurance and internal reference.
If a session is being recorded, you will be informed in advance or at the start of the call. By participating, you consent to the recording for these purposes. Recordings are made only with your knowledge and consent. You can request not to be recorded at any time.
We may publish client or customer testimonials and case studies on our website or promotional materials.
Testimonials may include name, job title, company name and direct quotes from experiences of our customers or clients with our products and services. We obtain explicit consent via email before publishing any such material.
If you have previously provided a testimonial or case study and would like it removed at any time, please email us at privacy@rightstory.io, and we will remove it promptly.
For custom demo messaging and website copywriting projects, we may conduct Voice of Customer (VoC) interviews and surveys on behalf of our clients. These are used to gather insights about customer motivations, challenges, and Jobs-to-Be-Done (JTBD), which directly inform the messaging and content strategy for the client’s project.
All collected data is anonymised where possible and used exclusively for the specific client project. It is never shared externally, reused for other clients, or featured in promotional content without explicit consent.
We may also use AI-powered tools such as ChatGPT to assist with anonymized synthesis of Voice of Customer inputs. These are used strictly for internal use and never store or process identifiable customer data.
If you are a customer being surveyed or interviewed, you will be informed of the purpose and (where applicable) the recording in advance. You may opt out of recording or withdraw your participation at any time.
We may also conduct Voice of Customer interviews and surveys with our own clients and customers to improve our messaging, service delivery and overall quality. These are always voluntary and handled with the same level of confidentiality and respect for your data rights.
When conducting Voice of Customer interviews or surveys, we act as the data controller. We determine the purpose and means of processing (e.g. research design, analysis, and synthesis). Personal data collected during this process is treated with strict confidentiality and processed in accordance with GDPR standards. Clients receive anonymized insights and recommendations for the project; raw data is not shared unless explicitly agreed upon.
We retain your personal data only as long as necessary for the purpose it was collected, or as required by law.
You can:
Unsubscribe at any time using the link in our emails.
Request deletion of your data by emailing us at privacy@rightstory.io.
We will respond to your request promptly and delete your data from our systems unless we are legally required to retain certain records (e.g., for tax or contractual purposes).
You may at any time:
Request access to your personal data
Request correction or deletion
Withdraw your consent
Object to specific types of processing
File a complaint with your data protection authority
To exercise your rights, email us at privacy@rightstory.io.
Some third-party tools may process your data outside the EU. We ensure these transfers are protected through appropriate legal safeguards, such as Standard Contractual Clauses.
Payments for paid services or workshops are handled securely via third-party processors, including Stripe, Kit, Cal.com and HubSpot’s payment systems. We never store your card details or payment credentials.
As our services evolve and our tech stack grows, we may update this Privacy Policy from time to time. Any changes will be reflected on this page, with a clear “last updated” date at the top.
